# IniDeck — full site content > Generated from the site's own content on 2026-09-10. Canonical source: https://inideck.com ## What IniDeck is IniDeck is a dedicated operations partner for small businesses. It prepares quotes, sends invoices, answers clients and keeps records straight, in the background, from wherever the business owner already works — message, SMS, WhatsApp, email, or a browser workspace. The category is sometimes called an "AI employee" or "software as an employee". The intended comparison is not to another software subscription but to hiring an administrator the business cannot yet afford. ## How it works, architecturally 1. The owner asks for something in plain language. 2. Client names, phone numbers and amounts are replaced with placeholders before anything reaches a language model. 3. The model works out what was meant and produces a fixed, checkable set of instructions. It does not act. 4. Those instructions are validated — is anything missing, is the order correct, does this need approval. Anything incomplete stops here rather than being guessed. 5. The model is disconnected. Ordinary deterministic software executes the instructions, and the real client details are reattached only at this final step. 6. The owner gets a confirmation, or a request for a decision. The consequence: the AI never acts on live invoices or client records, so there is nothing left to hallucinate by the time money is involved. Anything irreversible waits for human approval regardless. ## Who it is for Solo operators and teams under about ten people: tradies and field services, independent consultants and advisors, small creative and marketing agencies, IT service providers, freelancers, people starting a business, small professional practices, and small hospitality operators. ## Who it is not for Businesses over about ten people that need role hierarchies and procurement. High-volume physical retail with inventory and supply chains. Developers who want raw API access to build custom logic. Heavily regulated work needing an industry-specific compliance framework. ## Pricing A free workspace with no time limit, intended for the setup period before a business is earning. One flat monthly fee once the business is running, covering the whole business rather than per seat. No usage credits and no metered billing, so a busy month costs the same as a quiet one. Card and bank payments are processed by an established third-party provider; IniDeck never holds customer funds. ## Company IniDeck is incubated by Millionyse and based in Melbourne, Australia. It operates across Australia · Sri Lanka. Contact: hello@inideck.com --- # What it does ## Quotes & invoices — From a message to money in the bank. URL: https://inideck.com/features/quotes-and-invoices Most small businesses do not lose money on the work. They lose it in the gap between finishing a job and getting paid for it — the quote that took three days, the invoice that was never sent, the one that was sent and never chased. **Quotes written from a description.** Tell it what the job involves the way you would tell a person. It produces a properly itemised quote with your rates, your terms and your tax handling, ready for you to check. **Invoices raised the moment work is accepted.** When a client approves a quote, the invoice already exists. Nothing gets re-typed, and the numbers cannot drift between the two documents. **Follow-ups that actually happen.** Overdue invoices get a polite reminder on a schedule you set. You are told what went out and what came back — you are never the one having the awkward conversation first. **Deposits, part-payments and progress claims.** Split a job across a deposit and a final invoice, or bill in stages as work completes. The balance stays correct without a spreadsheet. **Records that survive tax time.** Every quote, invoice, payment and credit is kept against the client it belongs to, in a form your accountant can work from. **Your approval on anything that leaves.** Nothing is sent to a client until you say so. The draft is prepared; the decision stays yours. How it goes: 1. **Describe the job** — By message, email or from a conversation that already happened with the client. 2. **Check the draft** — It comes back itemised and priced. Change anything you want to change. 3. **Send and forget it** — It goes out, gets tracked, and gets chased if it needs chasing. Questions: - **Does it handle GST and tax correctly?** Yes. Tax treatment is set once for your business and applied consistently to every quote and invoice, including tax-inclusive and tax-exclusive pricing. - **Can I use my own invoice design?** Yes. Your logo, colours, payment terms and bank details are set once and used on everything that goes out. - **What if I already use Xero or QuickBooks?** Connect it and records flow through, so your accountant keeps working the way they already do. If you do not use an accounting package, you do not need one. - **Will it chase a client without asking me?** Only within the rules you set. You decide how many reminders go out and how firmly they are worded, and you can stop the sequence on any client at any time. ## Client communication — Every conversation about a client, in one thread. URL: https://inideck.com/features/client-communication A job gets quoted over email, confirmed by text, changed on a phone call and invoiced from memory. The detail that matters is always in the app you are not looking at. **One thread per client, not per channel.** Email, SMS, WhatsApp and calls all attach to the same client record, in the order they happened. **Replies drafted while you work.** Common questions — availability, pricing, where things are up to — come back as a draft reply for you to approve or edit. **Nothing needs re-typing.** What was agreed in a message is what appears on the quote. The conversation and the paperwork are the same record. **After-hours enquiries answered.** A message at 9pm gets a sensible reply and a note in your morning summary, instead of sitting unread until Monday. **Call notes without taking notes.** Calls are logged against the client with what was discussed, so the detail is there next time without you writing it down. **Handover that works.** If someone else picks up a client, the whole history is already in front of them. Questions: - **Do I have to change my phone number or email?** No. You can keep what you use now and connect it, or use a number and address IniDeck sets up for you. Most people start with what they already have. - **Does it reply to clients on its own?** Only where you have told it to. By default it drafts and waits. You choose which kinds of message it can answer without asking. - **What about WhatsApp?** Supported, and for a lot of trade and field businesses it is the main way clients get in touch. It works the same as any other channel. ## Client portal — Your clients approve and pay. No account, no friction. URL: https://inideck.com/features/client-portal Asking a client to sign up for something is asking them to do you a favour. Most will not, and the ones who do will resent it. So they do not have to. **A link, not a login.** Your client opens a private page from an email or message. No password, no account, no app to install. **Approve in one tap.** Quotes are approved on the page, with a record of who approved what and when. **Pay from the same page.** Card and bank payment sit next to the invoice, so there is no separate step and no excuse. **Documents in one place.** Quotes, invoices, receipts and files stay available to them, which removes most of the "can you resend that" email you get today. **It looks like your business.** Your name, your logo, your colours. It reads as an extension of you, not as software you bought. **You see everything.** Opened, viewed, approved, paid. You know where a job stands without asking. Questions: - **Does the client have to sign up?** No, and that is the point. They open a private link. Nothing is asked of them beyond the decision you need. - **Can subcontractors use it too?** Yes. The same portal works for subcontractors and partners, with only the parts you choose to share visible to each. - **How do payments actually work?** Card and bank payments are handled by an established payment provider. Money goes to your account; IniDeck never holds your funds. ## Website & domain — A site, a domain and a proper email address. URL: https://inideck.com/features/website-and-domain Most small businesses do not need a website project. They need to exist online, credibly, this week — with an address that is not a personal Gmail. **A site that goes live, not a builder to learn.** Describe what you do and who you do it for. A clean, fast site is produced from that, and you edit it in plain language rather than by dragging boxes. **Your own domain, configured properly.** Registration, records and certificates are handled. You never touch a DNS panel. **Business email that lands in inboxes.** you@yourbusiness — set up with the authentication that stops your quotes going to spam. **It updates as the business does.** Change your services or your area and the site follows. It does not slowly become out of date. **Enquiries go where the work is.** A form on the site becomes a client record and a drafted reply, not an email you forget. Questions: - **I already have a website. Is this useful?** You can keep it. Connect your domain and email, and use the rest. The site is there for people who do not have one or want to stop maintaining the one they have. - **Do I own the domain?** Yes. It is registered to you and you can move it elsewhere whenever you want. - **Can I have more than one site?** Yes — useful if you run more than one trading name. ## Getting found — Show up when someone nearby searches for what you do. URL: https://inideck.com/features/getting-found For most local businesses, the difference between a quiet month and a busy one is whether the right listing said the right thing when someone searched at the moment they needed you. **Listings that agree with each other.** Name, address, phone, hours and services kept consistent everywhere they appear. Inconsistency is the thing that quietly buries you. **Hours and areas that stay true.** Change your service area or your hours once and it propagates, instead of being wrong in four places for a year. **Enquiries treated as work.** A call or message from a listing becomes a client record with a drafted reply, not a missed call. **Reviews you actually ask for.** Requests go out after a job is finished and paid, at the moment goodwill is highest. Questions: - **Is this SEO?** Not in the sense of an agency retainer. It is the practical part: making sure the places people search have correct, consistent, current information about your business. - **Do you post reviews for me?** No. Reviews come from your customers. IniDeck asks at the right moment and keeps track of who has been asked. ## Starting out — Name, domain, email and invoicing — sorted on day one. URL: https://inideck.com/features/starting-a-business The first fortnight of a business is spent on things that are not the business: is the name taken, is the domain free, how do I look legitimate, how do I actually get paid. **Check the name properly.** Whether the name is available as a domain and across the places customers will look for you — before you print anything. **Secure it in one step.** Domain registered and configured, without a separate registrar account and an afternoon of DNS. **Look established immediately.** A real email address, a simple site, and quotes and invoices that look like they came from a business with a back office. **Be able to invoice on day one.** The first job can be quoted and billed before you have worked out what a chart of accounts is. **Grow into the rest.** You are not sold ten features you do not need yet. More becomes available as the business actually needs it. Questions: - **Do you register the business itself?** No. Company or sole-trader registration is done with the relevant government registry. IniDeck handles everything around it — name checks, domain, email, presence, invoicing. - **What does it cost to start?** There is a free workspace to get set up. You only pay once the business is actually running. ## Runs in the background — It notices what you repeat, and offers to take it over. URL: https://inideck.com/features/works-in-the-background Automation tools give you a blank canvas and ask you to become a systems engineer. This works the other way around: it watches what you already do, and offers. **Suggestions from your own behaviour.** If you do the same four things every time a job finishes, it will offer to do those four things next time. **You approve the pattern once.** Nothing becomes automatic because software guessed. It becomes automatic because you said yes to a specific, described sequence. **Reversible, always.** Turn any of it off and the work comes back to you exactly as it was. **A morning summary worth reading.** What came in, what went out, what needs a decision from you. Short enough to read on a phone before you start. Questions: - **Will it do things I did not ask for?** No. It proposes; you decide. Anything that cannot be undone always waits for your approval, whether or not it is part of a pattern you approved earlier. - **Do I have to build workflows?** No. There is no canvas, no logic tree and no webhook. If you find yourself configuring something, we have failed. --- # Who it is for ## Tradies — Quote from the van. Get paid before you're home. URL: https://inideck.com/for/tradies Tell it what happened on the job. It writes the quote, sends the invoice, and chases the ones that do not pay. No laptop, and no Sunday night in front of a spreadsheet. What costs them time: - **The quote that took four days** You looked at the job on Tuesday. You wrote the quote on Saturday night. By then they had someone else out. The work was never the problem — the paperwork between the work was. - **Invoices written from memory** Three jobs on Thursday, invoices written on Sunday. One is missing the extra materials, one is missing an hour, and one never got sent at all because you thought you had done it. - **Being your own debt collector** The part nobody warned you about is ringing a customer you liked to ask, again, where your money is. Most tradies simply stop asking, and write it off. What IniDeck does for them: - **Quote before you leave the driveway** Describe the job in a message — parts, hours, anything unusual. A priced, itemised quote comes back for you to check and send while you are still on site. - **Invoice the moment the job is signed off** When the customer approves, the invoice already exists with the right numbers and your tax handling. It goes out the same day, not the same month. - **Chase without the phone call** Overdue invoices get a polite reminder on your schedule. You get told what came back. You only get involved when a human decision is genuinely needed. - **Answer the 9pm enquiry** A message that arrives while you are eating gets a sensible reply with your availability, and is waiting as a real job in the morning. What it replaces: An invoicing app you log into on the laptop; A separate quoting tool or a Word template; A phone full of job photos with no home; A spreadsheet of who has paid; A website someone built for you in 2019. Most one-van operators are paying $90–$200 a month across these and still doing the joining-up themselves, at night. Questions: - **Does it handle GST properly?** Yes. Your tax treatment is set once and applied to every quote and invoice, tax-inclusive or exclusive, whichever way you price. - **Can I take a deposit before starting?** Yes. Split any job into a deposit and a balance, or bill in stages for longer work. The amounts stay correct without you tracking them. - **Does it work if I only use WhatsApp?** Yes, and for a lot of tradies that is the main way it gets used. You message it the way you message anyone else. - **What about materials I bought on the day?** Add them in the same message. They land on the quote or invoice as a line item rather than being remembered later, badly. - **Do I need to be good with computers?** No. If you can send a text message you can run it. There is nothing to configure and no dashboard you have to learn. - **What if a customer disputes a job?** The whole history is in one place — what was quoted, what was approved, when, and every message about it. You are not reconstructing it from memory. ## Consultants — Your expertise is the product. The admin around it isn't. URL: https://inideck.com/for/consultants The engagement is signed. Now there is a folder to make, an agreement to draft, a kickoff to schedule and an invoice to raise — three hours nobody pays for. IniDeck does that part. What costs them time: - **Three unbilled hours after every "yes"** Contract from the last client, find and replace, new folder, calendar invite, invoice, welcome email. At your rate, that admin costs more than most of your software. - **The lead that cooled while you were delivering** You are excellent at the work and invisible during it. An enquiry sits for four days because you were in a room with someone else, and by the time you answer the moment has gone. - **Scope that moved and never got billed** The extra workshop, the second round of revisions, the "quick" call that took ninety minutes. It was agreed in an email nobody turned into an invoice. What IniDeck does for them: - **Turn an accepted proposal into an engagement** Agreement drafted from your terms, workspace prepared, kickoff scheduled and the first invoice raised — from the moment the client says yes. - **Reply while you are in the room** New enquiries get a considered response with your availability, so the pipeline does not go cold every time you are actually delivering. - **Bill what was agreed, including the extras** Scope changes discussed over email surface as billable items rather than quietly becoming free work. - **Give clients somewhere professional to look** A private page with their documents, invoices and approvals. It removes the back-and-forth and it makes a one-person practice look like a firm. What it replaces: A proposal or e-signature tool; An invoicing subscription; A scheduling link; A CRM you stopped updating; A folder structure you maintain by hand. A typical independent practice runs $150–$300 a month across these, and still loses the hours between them. Questions: - **Can it use my own engagement letter?** Yes. Your terms and templates are used as the basis. It fills in the specifics of the engagement rather than inventing language. - **Does it handle retainers as well as project fees?** Yes. Recurring monthly retainers, fixed-fee projects and stage-based billing are all handled, including part-payments. - **What about confidentiality?** Client names, figures and documents stay inside your workspace. They are never sent to a public AI model, and they are never used to train anything. - **Can I keep using my accountant's software?** Yes. Connect it and the records flow through. If you would rather not run one at all, you do not need to. - **Will it email a client without me?** Not unless you have specifically allowed it for a specific kind of message. Everything else is drafted and waits for you. ## Agencies — You grew past the point where you can hold it in your head. URL: https://inideck.com/for/agencies Under ten people, nobody is the operations manager — which means it is you, in the evenings. IniDeck takes the coordination layer so the studio can take on more work without adding overhead. What costs them time: - **You became the traffic controller** Every question routes through you because only you know what was promised to whom. The studio cannot grow past your attention, and your attention is already spent. - **Contractor billing arrives as a surprise** Three freelancers invoice at the end of the month, in three formats, for work across five clients. Reconciling what is billable and what was absorbed takes a day you did not plan for. - **Retainers that quietly run at a loss** The scope crept in March and nobody adjusted the fee. You find out at the end of the quarter, when the margin has already gone. What IniDeck does for them: - **One thread per client, visible to the team** Emails, calls and messages attach to the client rather than to whoever happened to receive them. Handover stops requiring a meeting. - **Onboard a new client without a checklist** Agreement, folders, billing profile and the client's own portal are prepared the moment the work is won. - **Contractor costs against the right job** Subcontractor invoices land against the client and project they belong to, so what you bill and what you pay finally sit in the same view. - **Retainers billed on time, every month** Recurring invoices go out without anyone remembering, and overruns surface while you can still do something about them. What it replaces: A project tool used mostly as a to-do list; An invoicing subscription per seat; A shared inbox nobody owns; A spreadsheet reconciling contractors; An automation tool joining three of the above. A five-person studio typically runs $200–$400 a month here, plus the day a month someone spends reconciling it. Questions: - **Can the team have their own access?** Yes, with different permissions. Contractors can see only the jobs they are on; you see everything. - **Does each client stay separate?** Yes. Client records, documents and conversations are kept apart, and the client portal only ever shows that client their own material. - **We are more than ten people. Is this for us?** Probably not yet, and we would rather say so. IniDeck is built for teams under ten without a dedicated operations person. Above that you likely need something with procurement and role hierarchies. - **Can it work with the tools we already run?** Yes. Connect your accounting, calendar and storage and keep them. Anything you do not already run is built in, so there is less to connect than you think. - **What happens to our existing client history?** You can bring records across, and new activity builds on them. You are not starting from an empty database. ## IT services — You fix other people's systems. Yours is a spreadsheet. URL: https://inideck.com/for/it-services Support requests in one inbox, quotes in a document, hours in a spreadsheet, invoices at the end of the month if there is time. IniDeck runs the delivery pipeline from request to payment. What costs them time: - **Requests that arrive everywhere at once** A client texts one engineer, emails another and calls you. Something gets done twice and something gets done never, and neither shows up as billable. - **Quotes that take a week to leave** Small work needs a small quote, but a small quote still takes an hour to produce, so it waits until Friday. Half of that work goes elsewhere while it waits. - **Billing that trails the work by six weeks** The work happened in March, the hours were compiled in April, the invoice went out in May, and it will be paid in June. You are financing your clients without meaning to. What IniDeck does for them: - **Every request becomes one tracked item** However it arrives — call, email, message — it lands against the right client with what was asked and what was agreed. - **Quote small work in minutes** Standard work gets a priced quote from a short description, so it leaves the same day instead of at the end of the week. - **Bill the work while it is fresh** Hours and materials attach to the job as they happen. Invoicing stops being an end-of-month archaeology project. - **Recurring contracts that bill themselves** Managed service fees go out on schedule, with variations included rather than forgotten. What it replaces: A ticketing tool priced per technician; A quoting document you maintain; Time tracking in a spreadsheet; An invoicing subscription; The automation tool joining them. Small providers typically run $180–$350 a month here, and still bill six weeks behind the work. Questions: - **Is this a full PSA or RMM?** No, and it does not pretend to be. There is no device monitoring or remote management. It handles the client-facing side: requests, quotes, communication and getting paid. - **Can it handle both project and recurring work?** Yes. One-off projects, hourly work and monthly contracts run side by side against the same client. - **Do clients get somewhere to see their requests?** Yes, through a private portal with no account required — they can see status, approve quotes and settle invoices. - **We resell hardware and licences. Does that work?** Yes, as line items with your margin applied. Balance-sheet inventory management is out of scope. ## Freelancers — You went independent to do the work, not to run an office. URL: https://inideck.com/for/freelancers Nobody leaves a job because they wanted to write invoices. IniDeck runs the business side so the freelance part stays the part you actually wanted. What costs them time: - **Every job starts with the same twenty minutes** New quote from an old quote, new folder, new invoice draft. Twenty minutes a job does not sound like much until you count a year of them. - **Looking smaller than you are** A quote from a personal email with a document attached does not read the same as a proper proposal. It costs you rate before anyone has seen your work. - **Feast, famine, and no follow-up** While you are busy delivering, nothing goes out. When you finish, the pipeline is empty and it takes six weeks to refill. What IniDeck does for them: - **Quote in the time it takes to describe the job** Your rates, your terms, properly itemised, ready to send while the conversation is still warm. - **Look like a business, not a side hustle** Your own domain, a real email address and client-facing documents that carry your name and your look. - **Get paid without the awkwardness** Invoices go out on completion and get chased on a schedule, so you never have to open with "sorry to bother you". - **Keep the pipeline warm while you work** Enquiries get answered the same day whether or not you were free to answer them. What it replaces: An invoicing app; A portfolio site you pay for and never update; A personal email doing business work; A notes app holding client details. Usually $60–$150 a month, and the real cost is the unbilled hours around it. Questions: - **Is this overkill for one person?** It was built for one person first. Everything else is what happens when that person gets busier. - **Can I use it for a side business while employed?** Yes. Plenty of people start that way, before it becomes the main thing. - **What if I have very few clients?** Then the free workspace probably covers you until you do not. There is no reason to pay before the volume is real. ## Just starting — Day one, and everything already works. URL: https://inideck.com/for/new-businesses The first two weeks of a business disappear into things that are not the business. IniDeck compresses that into an afternoon so you can go and find a customer. What costs them time: - **The name might already be gone** You have decided on it, told people, maybe designed something. Then the domain is taken, or someone in the next suburb is already trading under it. - **Looking new is expensive** A personal email address and a document template tell every prospect exactly how long you have been doing this, and they price you accordingly. - **The first invoice is a research project** Your first customer says yes and you realise you do not know how to bill them, what your terms are, or what a tax invoice legally needs on it. What IniDeck does for them: - **Check the name while it still matters** Domain availability and how the name looks across the places customers will search — before you commit to it. - **Put you online the same day** Domain registered and configured, a simple site live, and an email address at your own name that actually reaches inboxes. - **Make you invoice-ready before you need it** Your terms, tax handling and payment details set up once, so the first job can be quoted and billed the day it appears. - **Stay out of your way after that** You are not handed a platform to learn. More capability shows up when the business is actually doing the thing that needs it. What it replaces: A domain registrar account; A website builder subscription; A mailbox provider; An invoicing tool; A weekend of tutorials. Roughly $50–$120 a month before you have earned anything — which is exactly the wrong time to be paying it. Questions: - **Do you register the company for me?** No. Registering a company or sole trader is done with your government registry. IniDeck handles everything that sits around it. - **What if I have not decided on a name?** That is the best time to start. Checking names is the first thing it does. - **Can I start free?** Yes. The workspace is free while you are setting up. You pay when the business is running. ## Professional practices — A practice that runs like it has an office manager. URL: https://inideck.com/for/professional-services Small practices carry the paperwork obligations of large ones without the staff. IniDeck handles intake, recurring billing and record-keeping so the practice does not run on evenings. What costs them time: - **Intake takes longer than the advice** Details, documents, engagement terms, the file. A new client can absorb half a day before any billable work begins. - **Recurring fees that go out late** Monthly and quarterly fees depend on someone remembering. When it slips, so does the cash flow, and the client notices the inconsistency. - **Records that only exist in your head** What was advised, when, and on what basis is spread across email, notes and memory — until the one time you need it in one place. What IniDeck does for them: - **Take on a client without the half-day** Intake, engagement terms, the file and the first invoice prepared from the moment they agree to proceed. - **Bill on the cycle without remembering** Monthly, quarterly and annual fees go out on schedule, with adjustments included rather than forgotten. - **Keep a defensible record** Every document, message and approval sits against the client with a timestamp, in a form you can produce later. - **Give clients a place to send things** A private portal for documents and approvals, so you are not chasing attachments through email. What it replaces: A practice management subscription; Separate engagement and e-signature tools; An invoicing package; A document request tool; Email as a filing system. Typically $150–$300 a month, most of it for features a small practice never opens. Questions: - **Is this suitable for regulated advice?** IniDeck handles the operational side — intake, communication, billing and records. It does not provide advice, make regulated determinations, or replace the compliance obligations specific to your profession. - **Can clients upload documents securely?** Yes, through their private portal without creating an account. - **How long are records kept?** For as long as you keep the workspace, and you can export them at any time. ## Hospitality — The paperwork of a venue, done between services. URL: https://inideck.com/for/hospitality Function enquiries, supplier invoices, casual contractor payments and a website with last summer's menu on it. IniDeck runs the back office of a small venue so the floor gets your attention. What costs them time: - **Function enquiries answered too late** The enquiry arrives at 7pm on a Friday, which is exactly when nobody can answer it. By Monday they have booked the venue that replied. - **Contractor payments in three formats** Casual staff, a cleaner, a sound engineer, all invoicing differently and all needing to be reconciled against nights you barely remember. - **A digital presence stuck in the past** The hours are wrong on one listing, the menu is from last season, and the phone number goes to a mobile that changed. What IniDeck does for them: - **Answer function enquiries the same evening** A considered reply with availability and a quote for the standard packages, waiting for your approval rather than your attention. - **Quote and invoice functions properly** Deposit, balance, headcount changes and extras handled as one job rather than four separate messages. - **Keep contractor costs against the night** Who worked what, what it cost, and whether it was recovered — visible without a reconciliation session. - **Keep the public details true** Hours, menu and contact details consistent everywhere people look for you. What it replaces: A function enquiry inbox nobody owns; A quoting document; An invoicing tool; A website you cannot edit; A spreadsheet of casual hours. Small venues typically run $120–$250 a month across these, and lose more to enquiries answered too slowly. Questions: - **Does it do table bookings or a POS?** No. Reservations and point of sale are their own systems and they are good at it. IniDeck handles the back office around them — functions, quotes, billing, contractors and presence. - **Can it manage supplier invoices?** It keeps them against the venue and the period so you can see what was spent. It does not pay them for you. --- # Comparisons Each of these begins with what the alternative does better. Several recommend the alternative. ## IniDeck vs hiring an assistant URL: https://inideck.com/compare/vs-hiring-an-assistant This is the decision most people are actually making. Not which software to buy — whether to buy software at all or find a person. **What a person does better:** A person exercises judgement, holds relationships, and handles the thing nobody anticipated. They can read a difficult client and decide to ring rather than email. They can notice that something feels wrong. IniDeck does none of that, and anyone telling you otherwise is selling. If your bottleneck is judgement, hire. - **Cost** — Hiring someone: A part-time admin hire is typically $30,000–$45,000 a year plus on-costs, before you factor in the time you spend managing them. IniDeck: A flat monthly fee, less than most single software subscriptions. - **When it works** — Hiring someone: Business hours, minus leave, minus sick days, minus the handover when they move on. IniDeck: Continuously. An enquiry at 9pm is answered at 9pm. - **Ramp-up** — Hiring someone: Weeks to learn your business, and it leaves with them. IniDeck: Working the same day. What it learns stays. - **Judgement** — Hiring someone: Real judgement about people and situations. IniDeck: None. It asks you for anything it cannot decide mechanically. - **Consistency** — Hiring someone: Human — good days and bad days. IniDeck: Identical every time, which is the point when it touches invoices. - **Scaling down** — Hiring someone: Difficult and personal. IniDeck: Cancel a subscription. Choose Hiring someone if: Your work needs someone in a room with clients; The bottleneck is decisions, not paperwork; You have hands-on work that is physical or in-person; You can afford it and want the capacity now. Choose IniDeck if: You have hit your admin ceiling but not the revenue to hire; The work is repetitive: quotes, invoices, chasing, records; You want it done at night and on weekends; You would rather not manage anyone. - **Could I do both?** Often the best answer. Businesses that hire usually find the hire spends their first month on admin that should never have needed a person. Run this underneath and the hire does the work you hired them for. - **Will it replace someone I already employ?** That is not what it is built for and we would not pitch it that way. It is built for the businesses that cannot justify the hire in the first place. ## IniDeck vs ChatGPT URL: https://inideck.com/compare/vs-chatgpt Almost everyone asks this, so it is worth answering plainly rather than pretending the question is silly. **What ChatGPT does better:** It is a better writer than any software you will buy, and a better thinker. For drafting difficult emails, working through a pricing decision, or explaining something you do not understand, it is excellent and IniDeck does not try to compete with it. Many of our customers use both. - **What it produces** — ChatGPT: Text, in a chat window, that you then act on yourself. IniDeck: A sent invoice, a booked job, a chased payment. The action, not the instructions. - **Your business data** — ChatGPT: Whatever you paste in each time. It does not know your clients or your rates unless you tell it again. IniDeck: Already knows your clients, rates, terms, history and tax treatment. - **Touching live records** — ChatGPT: Cannot. It has no access to your invoices or your ledger. IniDeck: Can — but the AI itself never does. It writes instructions; separate software executes them. - **Accuracy on numbers** — ChatGPT: It is a language model. It can be confidently wrong about arithmetic. IniDeck: Amounts, tax and totals are computed by ordinary software that cannot improvise. - **Setup** — ChatGPT: None, which is genuinely a strength. IniDeck: Some — connecting what you already use, if you use anything. Choose ChatGPT if: You want help thinking, writing or deciding; The task is one-off and you will do the doing; You are comfortable copying output into your other tools. Choose IniDeck if: You want the invoice sent, not an invoice drafted for you to send; The same admin happens every week; The numbers have to be right without you checking them. - **Does IniDeck use models like ChatGPT underneath?** It uses commercial language models to understand what you are asking for. It does not let them act on your live records — they produce a fixed set of instructions, then separate software carries those out. - **So is this just a wrapper?** A wrapper leaves the model in the loop, acting on your data and guessing when it is unsure. The whole architecture here exists to stop that. The model is disconnected before anything touches an invoice. - **Can I keep using ChatGPT as well?** Yes, and most people do. They are not competing for the same job. ## IniDeck vs Zapier and Make URL: https://inideck.com/compare/vs-zapier-and-make If you enjoy building things and you have the time, automation builders will take you further than we will. Most small business owners have neither. **What they do better:** Flexibility, and it is not close. Thousands of connectors and no opinion about how your business should run, so you can build almost anything. If you have an unusual process and you like the tinkering, they are the right answer and we will not pretend otherwise. - **What you get on day one** — Zapier / Make: An empty canvas and a connector library. IniDeck: A working back office. Nothing to assemble. - **What you need to know** — Zapier / Make: API keys, fields, payloads, conditional logic and error handling. IniDeck: How to describe a job in a sentence. - **When something breaks** — Zapier / Make: Silently, when someone else changes their API. You find out when a customer does not get an invoice. IniDeck: The core is not held together by third-party connectors, so there is less to break. - **What it costs** — Zapier / Make: The builder subscription, plus the five to eight tools it is joining together. IniDeck: One subscription. The tools it joins are already inside it. - **Who maintains it** — Zapier / Make: You, indefinitely. IniDeck: Nobody. There is no wiring to maintain. Choose Zapier / Make if: You have a genuinely unusual process to model; You already run tools we do not replace; You enjoy building and maintaining systems; You have technical help available. Choose IniDeck if: You want the outcome, not the plumbing; You do not have a weekend to spend on this; Silent failures are unacceptable — invoices and clients are involved; You would rather have one bill than seven. - **Can I still connect things IniDeck does not do?** Yes. Connections to the tools you already run are supported, and it handles the mapping rather than asking you to. - **Is this trying to replace Zapier?** No. It is trying to make sure you never need it. For a fifty-person company with a bespoke stack, Zapier remains the right tool. ## IniDeck vs traditional business software URL: https://inideck.com/compare/vs-business-software These are mature, deeply capable products. The question is not whether they are good. It is whether a one-van business or a three-person studio uses enough of them to justify the cost and the learning. **What they do better:** Depth, and compliance at scale. If you have a bookkeeper, a finance function, or genuinely complex accounts, a dedicated accounting platform is doing things IniDeck does not attempt. Your accountant knows them and works faster in them. That is a real advantage and it should be weighed properly. - **Who they were built for** — Xero / HubSpot: Teams with someone whose job is to operate the software. IniDeck: Businesses where that person does not exist. - **How much you use** — Xero / HubSpot: A solo operator typically uses well under a tenth of the feature set. IniDeck: A small set of things, all of which you use. - **Who does the work** — Xero / HubSpot: You do. They give you the tools and the reports. IniDeck: It does. You approve. - **Joining it up** — Xero / HubSpot: Each tool does its job; connecting them is your problem. IniDeck: It arrives connected because it is one system. - **Setup** — Xero / HubSpot: Configuration, chart of accounts, templates, imports. IniDeck: Connect what you use. It learns the rest by watching. - **Cost** — Xero / HubSpot: A subscription each, and typically several. IniDeck: One flat fee. Choose Xero / HubSpot if: You have a bookkeeper or finance staff; Your accounts are genuinely complex; You need deep reporting or industry compliance features; Your accountant requires a specific platform. Choose IniDeck if: You want a paid invoice and clean records, not accounting software; Nobody in the business wants to operate a platform; You are paying for depth you never open; You would rather the work happened than be given a tool to do it with. - **Will my accountant be happy?** Yes. Either connect your existing accounting package and records flow through, or export clean records at any time in a form they can work from. - **Is IniDeck accounting software?** No. It handles quotes, invoices, payments and the records around them. It is not a general ledger and it does not file your tax. - **Can I use both?** Yes, and many do. IniDeck runs the day-to-day; the accounting package stays where the accountant lives. ## IniDeck vs other AI employees URL: https://inideck.com/compare/vs-ai-agents There are good products in this category and the pitch sounds similar. Two differences matter in practice, and both are visible on day one. **What they do better:** Breadth. Platforms built around a large connector library can touch far more systems than we do, and for a funded startup with an established stack that is genuinely useful. If your company already runs on Slack and a dozen SaaS tools, they will fit better than we will. - **Where it lives** — AI agents: Inside Slack or Microsoft Teams. That is the product. IniDeck: Where your business already talks — message, text, email, phone. - **Who it assumes you are** — AI agents: A team with a workplace chat tool and an existing stack. IniDeck: One person, or a handful, who may run almost nothing yet. - **What it does about tools** — AI agents: Drives the tools you already pay for. You keep every subscription. IniDeck: Brings the tools with it. Connects to yours if you have them. - **What the AI is allowed to touch** — AI agents: Usually the live systems, with approval gates on the risky steps. IniDeck: Nothing. It produces instructions; separate software executes them. - **Pricing shape** — AI agents: Often a plan plus usage credits that move with how much work it does. IniDeck: Flat. A busy month does not produce a larger bill. Choose AI agents if: Your team already lives in Slack or Teams; You have an established stack you want driven, not replaced; You need very broad tool coverage. Choose IniDeck if: Your business runs on messages and phone calls, not workplace chat; You would rather have fewer subscriptions, not more; A predictable bill matters; It is going to touch invoices, and you want that mechanically safe. - **Do you integrate with Slack?** You can connect it if you use it. It is simply not the assumption the product is built on, because most of our customers do not run it. - **Why does the architecture difference matter to me?** Because it decides what happens when the AI is unsure. A system that keeps the model in the loop will guess. This one stops and asks you. ## IniDeck vs five separate tools URL: https://inideck.com/compare/vs-separate-tools This is what most small businesses are actually running, assembled one problem at a time over several years. **What they do better:** Each one is better at its single job than any all-in-one will be, including this one. A dedicated scheduling tool has thought about scheduling far more than we have. If one of those jobs is the centre of your business, keep the specialist. - **Shared context** — Separate tools: None. The invoicing app does not know what the email promised. IniDeck: One record. What was agreed in a message is what appears on the invoice. - **Who moves the data** — Separate tools: You, by hand, or a fragile automation you maintain. IniDeck: Nobody. There is nowhere to move it to. - **Total cost** — Separate tools: Typically $150–$300 a month across five to eight subscriptions. IniDeck: One flat fee. - **When something changes** — Separate tools: Update a client detail in four places, or live with three of them being wrong. IniDeck: Change it once. - **Getting started** — Separate tools: Each tool has its own setup, and joining them is a separate project. IniDeck: One setup, and most of it is watching how you work. Choose Separate tools if: One of those jobs is genuinely specialised for you; Your team is already trained and happy; You have someone maintaining the connections. Choose IniDeck if: You are the integration layer and you are tired of it; Details are wrong in at least one place right now; You would rather pay once; You want the history in one place when a client disputes something. - **Do I have to cancel everything?** No. Keep what works — connect your accounting or calendar and carry on. Most people drop subscriptions gradually, as they notice they have stopped opening them. - **What if I need something you do not do?** Connect the tool that does it. The point is that you should not need five of them for the basics. --- # Use cases ## From quote to paid invoice URL: https://inideck.com/use-cases/quote-to-invoice The single most common sequence in a small business, and the one where the most money leaks out. How it goes today: Quote written in the evening from notes taken on site; Client approves by email; the email is the only record; Invoice rebuilt by hand from the quote, sometimes days later; Nobody is sure whether it was sent, let alone paid. How it goes with IniDeck: Quote produced from a description while you are still on site; Client approves on their own page, with a timestamp; Invoice already exists with the same numbers — nothing re-typed; Payment tracked, and chased on your schedule if it is late. Who this is for: Tradies, consultants, freelancers — anyone who quotes before they work. ## Onboarding a new client URL: https://inideck.com/use-cases/client-onboarding The unpaid half-day between winning work and starting it. It is the same half-day every time, which is exactly why it should not be yours. How it goes today: Copy the last agreement and find-and-replace the names; Create folders, add the client somewhere, set up billing; Write a welcome email from scratch; Schedule the kickoff across three messages. How it goes with IniDeck: Agreement drafted from your terms with this engagement's specifics; Client record, files and billing profile prepared together; Welcome message drafted in your voice, waiting for approval; Kickoff proposed against your real availability. Who this is for: Consultants, agencies and professional practices. ## Chasing late payments URL: https://inideck.com/use-cases/chasing-late-payments Most small businesses do not have a pricing problem. They have a collection problem, and it is caused by not wanting to seem rude. How it goes today: You notice an invoice is late, usually by accident; You put off the message because it is uncomfortable; You send something apologetic three weeks after due date; Some of it is never collected at all. How it goes with IniDeck: Overdue invoices are surfaced the day they turn overdue; A polite reminder goes out on the schedule you set; Escalation follows if there is still no reply; You step in only where a person genuinely needs to. Who this is for: Everyone, but especially anyone who has written off an invoice rather than ask twice. ## Enquiries that arrive after hours URL: https://inideck.com/use-cases/after-hours-enquiries Most enquiries to a small business arrive outside the hours that business is open. Whoever replies first usually gets the work. How it goes today: A message arrives at 9pm and is seen at 7am, if you are lucky; By then they have contacted two other businesses; The reply is rushed between jobs and gives no real information; You never find out how many you lost this way. How it goes with IniDeck: A useful reply goes out within minutes, with your availability; Enough detail is gathered that the job is real by morning; It appears in your summary as a job, not an unread message; You follow up when it is worth your time. Who this is for: Trades, field services, hospitality and anyone with a phone number on a listing. ## Contractor and subcontractor billing URL: https://inideck.com/use-cases/contractor-billing The month-end reconciliation that eats a day: three freelancers, five clients, and no shared idea of what was billable. How it goes today: Invoices arrive in three formats at three different times; Matching them to clients and jobs is done from memory; Some costs are never recovered because nobody noticed them; Margin per client is a guess until quarter end. How it goes with IniDeck: Each contractor invoice attaches to the client and job it belongs to; Recoverable costs are flagged before the client is billed; What you pay and what you bill sit in one view; Margin is visible while you can still act on it. Who this is for: Agencies, studios and anyone running work through subcontractors. ## Getting through tax time URL: https://inideck.com/use-cases/end-of-year-records The annual archaeology project. It is only painful because the records were never kept in one place while the year was happening. How it goes today: Invoices spread across an app, an inbox and a folder; Some jobs only exist as messages on a phone; A week reconstructing what happened, usually late; Your accountant charges for the reconstruction. How it goes with IniDeck: Every quote, invoice and payment against the client it belongs to; The conversation that produced each one kept alongside it; A clean export whenever your accountant asks; Nothing to reconstruct, because nothing was ever scattered. Who this is for: Everyone, once a year, painfully. --- # Legal summaries Full documents are on the site; these are summaries for reference. ## Privacy policy URL: https://inideck.com/legal/privacy Last updated: 10 September 2026 This explains what we collect, why we collect it, and what we will never do with it. It is written to be read, not to be survived. **What we collect.** Account information you give us: your name, business name, email address and billing details. Business records you create in IniDeck: clients, quotes, invoices, documents and the messages exchanged through the platform. Technical information: log data, device and browser information, and analytics about how the site and product are used. **What we never send to third-party AI models.** Your clients' names, contact details and financial figures are removed before any request reaches an external language model. The model works with placeholders and never sees the real values. Your business records are never used to train any public AI model, ours or anyone else's. Where we improve our own systems, we use anonymised records of how instructions were structured — never the contents of your business. **How we use what we collect.** To run the product for you: preparing and sending your documents, communicating with your clients on your instruction, and keeping your records. To bill you, support you, and tell you about material changes to the service. To understand and improve how the product is used, in aggregate. **Who else sees it.** Service providers who help us operate: hosting, payment processing, email and messaging delivery, and error monitoring. Each is bound by contract and may only use the data to provide their service to us. We do not sell your data, and we do not share it for advertising. We may disclose information where we are legally required to. **Where it is held and for how long.** Data is held on infrastructure in secure data centres. We will name our processing locations and sub-processors on request. We keep your records for as long as your workspace is active, and for a limited period afterwards to meet legal and accounting obligations. You can export your records at any time, and you can ask us to delete them. **Your rights.** You can access, correct, export or delete your information. Where the Australian Privacy Principles or GDPR apply, you have the rights those frameworks provide, including complaint to a regulator. To exercise any of this, contact us and we will respond within the statutory period. **Cookies and analytics.** We use a small number of cookies to keep the site working and to understand usage in aggregate. You can refuse non-essential cookies without losing functionality. **Contact.** Questions about this policy can be sent to our contact address, and we will answer them properly. ## Terms of service URL: https://inideck.com/legal/terms Last updated: 10 September 2026 These are the terms on which you use IniDeck. We have kept them in plain language, which does not make them less binding. **The service.** IniDeck prepares and, on your instruction, sends business documents and communications, and keeps records of them. You remain responsible for your business. IniDeck acts on your instructions and within the boundaries you set; it does not provide accounting, legal or financial advice. **Your account.** You must give accurate information and keep your credentials secure. You are responsible for activity in your workspace, including anything approved by people you give access to. You must have the right to use any client data you put into IniDeck, and to communicate with the people you ask us to contact. **Approvals and accuracy.** Documents and messages are prepared for your review. Anything that cannot be undone waits for your approval. You are responsible for checking documents before they are sent. We take considerable care with accuracy, but the final responsibility for what goes to your client is yours. **Payment.** Subscription fees are billed in advance on the cycle you choose, and are non-refundable except where the law requires otherwise. We will give reasonable notice before changing prices. You can cancel before a change takes effect. **Acceptable use.** You may not use IniDeck to send unsolicited bulk messages, to harass anyone, to break the law, or to attempt to disrupt or gain unauthorised access to the service. Our acceptable use policy sets this out more fully and forms part of these terms. **Availability.** We work to keep the service available and will tell you about planned maintenance. We do not guarantee uninterrupted availability. **Ending it.** You can cancel at any time. Your workspace stays available until the end of the paid period, and you can export your records. We may suspend or end an account for serious or repeated breach of these terms, with notice where it is reasonable to give it. **Liability.** Nothing here excludes rights you have under consumer law that cannot be excluded. Otherwise, our liability is limited to the fees you paid in the twelve months before the claim. **Governing law.** These terms are governed by the laws of Victoria, Australia. ## Data processing URL: https://inideck.com/legal/dpa Last updated: 10 September 2026 When you use IniDeck to work with your clients, you are the controller of their personal data and we are the processor. This sets out how we handle that. **Roles.** You decide what client data goes into IniDeck and what we do with it. We process it only on your documented instructions, which include your use of the product. **What we process.** Contact details, business records, documents and communications relating to your clients and the people you work with. For the duration of your subscription, and the limited retention period afterwards described in our privacy policy. **Security measures.** Encryption in transit and at rest. Access controls limiting who at IniDeck can reach production data, with the presumption being nobody. Personal data is removed from any request sent to third-party language models and replaced with placeholders before it leaves our systems. Logging and monitoring, with an incident response process and notification to you without undue delay. **Sub-processors.** We use a small number of sub-processors for hosting, payments, messaging delivery and monitoring. A current list is available on request, and we will give notice before adding a new one. **International transfers.** Where data moves between countries, we rely on recognised transfer mechanisms and require equivalent protection from every sub-processor. **Your rights as controller.** You may audit our compliance on reasonable notice. We will help you respond to data subject requests and to regulators. On termination, we will return or delete personal data at your direction, except where we must keep it by law. ## Acceptable use URL: https://inideck.com/legal/acceptable-use Last updated: 10 September 2026 IniDeck communicates with real people on your behalf. That imposes limits, and they are not negotiable. **Messaging other people.** Only contact people who have a genuine business relationship with you or who have asked to hear from you. No unsolicited bulk messaging, by email, SMS or any other channel. Anti-spam law applies to messages we send for you, and breaching it puts both of us at risk. Honour opt-outs immediately and permanently. **Content.** Nothing unlawful, fraudulent, harassing, or designed to deceive the recipient about who is contacting them or why. No impersonation of another business or person. **The service itself.** No attempts to gain unauthorised access, to probe or disrupt the service, or to circumvent limits. No reselling or providing the service to a third party as though it were your own, without an agreement with us. **Enforcement.** We may suspend an account immediately where there is a serious risk to recipients or to the service, and will explain why. ## Sub-processors URL: https://inideck.com/legal/sub-processors Last updated: 10 September 2026 We keep this list short deliberately. Every entry is a company that can touch data on our behalf, and every addition is a decision we have to justify. **Current sub-processors.** Cloud hosting and database — running the product and storing your workspace. Payment processing — handling card and bank payments. Card details are never held by IniDeck. Email and messaging delivery — sending the communications you approve. Language model providers — used only to interpret requests, and only ever receiving masked placeholders in place of your clients' names and figures. Error monitoring and analytics — understanding faults and usage. **Notice of changes.** We will give notice before adding a sub-processor that can access customer data, so you have the opportunity to object. **Requesting the detail.** The named list, with locations and transfer mechanisms, is available on request to any customer or prospective customer under evaluation.
